TERMS & CONDITIONS

By accessing the AÇAÍ Studios website, entering the premises, or completing a booking, you agree to comply with the following Terms & Conditions. Full payment is required at the time of booking and confirms acceptance of these terms.
These Terms apply to all studio hire, photography sessions, content creation, and related services provided by AÇAÍ Studios.
1. Studio Use & Care
AÇAÍ Studios is a professional creative environment and must be used respectfully at all times.
Clients agree to the following:
• All floors, walls, furniture, props, sets, and equipment must be handled with care.
• Furniture and props must be lifted when moved and returned to their original position before the end of the session.
• The studio must be left in the same clean and orderly condition as it was found.
• All rubbish must be disposed of in the designated bins, and no personal items should be left behind.
• Hot food, open drinks, and liquids are not permitted on sets unless prior approval is given.
• Makeup, fake tan, body oils, paint, glitter, or staining products must not come into contact with studio furniture, props, or surfaces.
• Any marks, floor damage, or issues noticed during use must be reported immediately.
• The studio must be secured and locked upon exit. The studio key must be returned to the key safe immediately after use, and the code must be scrambled/reset ready for the next client.
• If the key is lost, not returned to the key safe, or left unsecured, the client will be charged for key replacement and any associated costs.
• Failure to comply with studio rules may result in additional charges or termination of the session without refund.
2. Bookings & Responsibility
• All bookings must be made in advance and are only considered confirmed once full payment has been received and written confirmation issued by AÇAÍ Studios.
• The person making the booking is responsible for ensuring all attendees comply with these Terms & Conditions.
• Any errors or discrepancies in booking details must be reported as soon as possible.
• AÇAÍ Studios reserves the right to make reasonable changes to studio layouts, rules, or procedures where necessary for safety or operational reasons.
3. Payment, Cancellations & Changes
Payment
• Full payment is required at the time of booking.
• No booking is held or confirmed without payment.
Cancellations
• Cancellations made more than 7 days prior to the booking date are eligible for a full refund.
• Cancellations made within 7 days of the booking date will result in 25% of the total booking fee being retained.
• Cancellations made within 72 hours of the booking start time are non-refundable.
Rescheduling
• Instead of cancelling, clients may request to move their booking to a new date within 14 days of the original booking, subject to availability.
• Reschedule requests must be made outside of the 72-hour window.
• Where successfully rescheduled within this period, no cancellation fee will apply.
No-Shows
• Failure to attend without prior notice will be charged in full.
Studio-Initiated Cancellations
If AÇAÍ Studios must cancel a booking due to unforeseen circumstances, clients may choose between:
• A full refund, or
• Rescheduling the booking at no additional cost
No further compensation will be provided.
4. Session Timing, Late Arrivals & Overtime
• Studio access is limited strictly to the booked time slot.
• Late arrivals do not extend booking time.
• Setup, filming, packing, loading, and exit must occur within the booked session period.
• If additional time is required, clients must contact AÇAÍ Studios to check availability.
• Overtime is subject to availability and will be charged at the standard hourly rate, payable on the same day.
• Sessions that overrun and impact subsequent bookings may incur additional charges.
5. Damage, Cleaning & Additional Charges
Clients are fully responsible for any damage caused during their booking, including damage caused by guests or collaborators.
This includes (but is not limited to):
• Broken, stolen, stained, marked, or damaged furniture, props, equipment, walls, or flooring
• Damage caused by misuse, spills, adhesives, makeup, fake tan, oils, paint, glitter, or liquids
• Failure to return the studio to its original condition
Cleaning Charges
If the studio is not left in a clean and tidy condition, the following cleaning fees will apply:
• Standard additional cleaning (light mess, rubbish left, furniture not reset): £50
• Heavy cleaning (spills, stains, excessive rubbish, makeup/fake tan/paint/glitter residue): £100–£200
• Professional deep cleaning (where specialist cleaning is required): charged at cost + £50 admin fee
Damage Charges
Charges will apply for any damage requiring repair or replacement, including but not limited to:
• Minor damage (small marks, scuffs, or minor repairs): from £50
• Moderate damage (stains to furniture, damaged props, broken items): £100–£500
• Major damage (structural damage, broken equipment, irreparable furniture): full replacement or repair cost
Lost or unreturned items will be charged at full replacement value.
Lost or unreturned studio keys will be charged at £75 to cover replacement and security costs.
Payment of Additional Charges
AÇAÍ Studios reserves the right to charge the payment method used for the booking for any applicable cleaning or damage fees incurred during the session, in accordance with these Terms.
Where invoiced, all additional charges must be settled within 7 days of issue.
Documentation (including photographs and reports) will be provided upon request.
Failure to pay outstanding cleaning or damage fees may result in refusal of future bookings.
6. Conduct, Safety & Restrictions
• The booking holder is responsible for the behaviour of all attendees.
• Smoking, vaping, illegal substances, open flames, fire effects, smoke machines, or special effects are not permitted unless approved in writing.
• Alcohol is only permitted with prior written consent.
• Noise levels must be kept reasonable to avoid disruption to neighbouring properties.
• AÇAÍ Studios reserves the right to end a session immediately if behaviour is unsafe, disruptive, or in breach of these Terms. No refund will be issued in such cases.
7. FIRST AID & MEDICAL RESPONSIBILITY
• A basic first aid kit is available on site for minor injuries only.
• The first aid kit is provided as a courtesy and for immediate, short-term assistance. It does not replace professional medical treatment.
• AÇAÍ Studios does not guarantee that a qualified first aider or medically trained professional will be present during bookings.
Clients are responsible for:
Managing their own medical conditions
Bringing any required personal medication (including but not limited to inhalers, EpiPens, insulin, or prescribed medication)
Informing relevant members of their team of any known medical needs
In the event of a serious injury or medical emergency:
Emergency services may be contacted where deemed necessary
Any associated costs (including ambulance or hospital treatment) remain the responsibility of the individual concerned
By entering and using the studio, clients and their attendees acknowledge and accept that:
They participate at their own risk
First aid provision is limited
AÇAÍ Studios accepts no liability for adverse medical outcomes except where liability cannot legally be excluded
8. Personal Property, Liability & Parking
• Personal belongings are brought into the studio at the client’s own risk.
• AÇAÍ Studios accepts no responsibility for loss, theft, or damage to personal property.
• Use of the studio is undertaken entirely at the client’s own risk, except where liability cannot legally be excluded.
• Any liability attributable to AÇAÍ Studios is limited to the amount paid for the relevant booking.
• Parking, where available, is used at the vehicle owner’s risk.
9. General Legal Terms
• These Terms apply to all members of the booking party.
• No variation to these Terms is valid unless confirmed in writing by AÇAÍ Studios.
• Errors or omissions in documentation may be corrected without liability.
• If any provision is deemed unenforceable, the remainder of the Terms shall remain in effect.
• These Terms are governed by the laws of the country in which AÇAÍ Studios operates.
10. Liability & Insurance
• Use of the studio is undertaken at the client’s own risk.
• AÇAÍ Studios shall not be held responsible for any injuries, accidents, or incidents sustained by clients or their attendees during a booking, except where liability cannot legally be excluded.
Depending on the nature of your booking, you may be required to hold valid Public Liability Insurance, particularly for:
• Events
• Workshops
• Commercial productions
• Large teams or group bookings
Where required, proof of insurance must be provided upon request prior to the booking taking place.
AÇAÍ Studios reserves the right to refuse access to the studio if adequate insurance is not supplied.
11. Disputes, Inspection & Costs
• After your booking, the studio will inspect the space for damage or mess.
• Any repair or replacement costs will be invoiced within a reasonable timeframe.
• Documentation (photos, reports) will be provided upon request.
12. Termination of Access
AÇAÍ Studios may revoke access or refuse future bookings if:
• You repeatedly breach this Agreement
• You cause unreasonable damage or disruption
• You endanger the safety of others
• You fail to pay outstanding cleaning or damage fees
13. Updates to This Agreement
AÇAÍ Studios may update this Agreement periodically.
Significant changes will be communicated to regular users or renters.
